How to create SOP for business? by PG TAMIZHA A KARTHIC

1. Gather information on the subject.

Before you start to write a standard operating procedure (SOP), gather detailed background information on the subject so that you understand it in full. Questions to consider include why the process needs to be documented, what needs to be done, who will be completing the steps, when it needs to be done, and which tools/equipment will be required.

2. Compose the main text.

Write the main body of the SOP document in language that is clear and concise. Use simple language and explain actions step-by-step in the order they need to be taken. When referring to the process itself, avoid using pronouns like “you” since it implies the instructions are directed to a single reader.

3. Include visuals or diagrams.

To supplement the text and help make the process easier to understand, consider adding diagrams, photographs, or other visuals to make important steps or concepts easier to understand.


4. Use a standard format.

For each SOP, decide on a standard format that will be used and stick to it. Include a cover page which lists its title, version, date last modified and author. Identifying a specific format also helps to make all SOPs easy to retrieve and store.

5. Test and review the SOP.

Once the document is finalized, test it out or have it reviewed by a relevant person or group to ensure that it includes all the necessary information, is easy to understand, and is actionable. Once finalized, make the SOP available to those who need to refer to it
